GeoAthena is looking for a part-time administrative contractor to support the Growth function. The role has two core strands: providing administrative support around tender applications and opportunity qualification, and supporting the administration of new client and customer onboarding - in particular, ensuring GeoAthena becomes an approved supplier on each client's systems, with our current capabilities correctly reflected, so that the business can move forward and work with that client.
Key responsibilities
Tender & opportunity administration
• Monitor tender portals, frameworks and notification alerts for relevant opportunities.
• Carry out initial qualification of tender opportunities against agreed criteria (scope, value, fit, compliance
requirements, deadlines).
• Maintain a tracker/log of live, qualified and closed tender opportunities.
• Provide administrative support to the Growth team in preparing tender submissions — collating required
documents, certifications, policies, case studies and accreditations.
• Track submission deadlines and ensure documentation is submitted accurately and on time.
• Maintain a central library of standard tender content (company profile, capability statements, accreditations,
policies, case studies) and keep it up to date.
Client & customer onboarding administration
• Manage the administrative process for onboarding new clients and customers.
• Complete and submit supplier registration and pre-qualification applications so GeoAthena becomes an approved
supplier on client procurement systems and portals.
• Ensure client-facing systems and portals reflect GeoAthena's current capabilities, accreditations, insurances and
policies.
• Liaise with internal teams (e.g. finance, HR, QHSE) to gather the information and documentation required for
onboarding and supplier registration.
• Track onboarding status and progress for each client, flagging blockers or outstanding actions.
• Ensure onboarding is completed cleanly so the commercial and operational teams can begin working with the client
without delay.
General
• Maintain accurate, up-to-date records and trackers for tender and onboarding activity.
• Provide regular status updates to the Growth function.
• Support ad hoc administrative tasks for the Growth/Commercial team as required.
About you
• Strong administrative and organisational skills, comfortable managing multiple deadlines at once.
• High attention to detail, particularly when handling compliance and accreditation documentation.
• Confident using online portals, procurement/supplier-registration systems, and CRM or tender-tracking tools.• Clear, professional written communication.
• Experience in tender administration, bid support, procurement or supplier-onboarding administration is desirable —
experience in construction, infrastructure or ground engineering is a plus.
• Able to work proactively and independently on a part-time/flexible basis.
• Discretion when handling commercially sensitive information.
